Board Business

Participants: Ingrid Ulbrich, Patrick Barlow, Matt Watts,Peter Smith, Joyce Adams, Tris Utschig, Joann Horton, Steve Spicklemire, Chaya Jain

Agenda: No changes.

April Board meeting notes including Matt Watt’s edits approved as amended.

Next newsletter is coming out in May. As the one before June conference, it will have information and Board’s updates about the outreach. Any registration and outreach-related questions should be addressed to Patrick.

At June’s Academy meeting, Patrick will become President along with newly elected other officers.  Ingrid’s focus will be to handover to Patrick until then — with thanks to everyone’s contributions under her presidency.

Ingrid inquired whether any suggestions to strengthen today’s process including those for the incoming officials. Lacking any volunteer, a collective assessment at the end of today’s meeting will be done.

Conference Co-sponsorship with VSU:

Key positive points include 24 participants with STAR project to pay for attendees and a good closure for the final year of grant; no additional cost; strengthening of relationship with VSU, and the Academy having an institutional sponsorship.  Currently, no other sponsors.

The key modification will be the joint sponsorship on Academy’s conference webpage.

Ingrid shared that per policy, today’s discussion of conference as a joint venture is subject to vote at the next month’s meeting.  However, given the short duration, she proposed skipping the wait to make a decision at today’s meeting. The proposal was seconded and approved unanimously, followed by discussion of the joint venture, also approved unanimously.

The approval will require marketing committee’s updates as appropriate.  Patrick will inform VSU’s Leslie Whiteman of the Board’s decision of partnership, among other specifics.

Pre-conference Workshop:

Although not within the Academy’s parameter, but the Academy has been invited to participate if the pre-workshop is offered. Discussion regarding charge amount/discounts, payment set-up, revenue sharing with the Academy, were noted and Patrick will follow up with PC and share as appropriate.

Current list has 34 total conference participants (23 from VSU), details of payment is in progress.  Current membership list is on Google Drive for members’ outreach for recruitment of additional participants. Several members of the Academy need to register still.  Besides VSU, Hines (Joyce) and SUNY members (Steve S.) have recruited from their institutions. Peter Smith volunteer to recruit but need additional volunteers for outreach and recruitment.

Patrick shared the key highlights from the May edition.  Tris Utschig will ensure consistency of participant titles in the newsletter and conference program.

Patrick’s Comment: review of the Academy’s website is needed to ensure accuracy of the posted information (Ingrid’s on-spot check rendered only one modification).

Steve is on task to implement his ideas as appropriate for both public view and member-only information/webpages.
